Keep the evidence behind the work.
Audit preparation is usually a project that starts when somebody asks. It does not have to be. If the work is done in one system, the record of the work is already the record of compliance, by location or across the whole organization.
What is preserved
Every kind of evidence, none of it reconstructed.
Deleting a person does not delete their acknowledgments. Turning off a module does not delete what it produced. Detaching a pharmacy from a chain does not delete the policies it already holds. History is the one thing NotchRx will not quietly tidy up.
Policy version history
Every version that was ever published, with the wording as it stood, who published it, and the note explaining what changed.
Acknowledgment records
Who acknowledged which version and when, pointing at the exact text they read, not at wording edited since.
Screening history
Each monthly run, each potential match, the determination, who made it, and the original call if it was later revisited.
Credential and verification activity
What was on file, what the issuing board said, when each check ran, who ran it, and any void with its reason attached.
Task and checklist completion
What was assigned, who completed it, what proof was attached, and anything waived with the reason it was waived.
Administrative changes
Module grants, role changes, transfers, template takeovers, and deletions, each written to the audit trail with who did it.
One policy, read backwards
What were your Ohio stores working from in March?
That is a different question from what any one pharmacy has on the shelf today, and both are answerable. A chain reads the wording it published; a pharmacy reads what it actually adopted, placeholders and all.
- Records shown by location, or rolled up across the organization.
- Accreditation workflows relevant to specialty, central fill, and multi-location operations.
- Verification history kept per check rather than overwritten by the latest one.
- Waivers kept with their reasons, so an excused lapse never reads as a clean record.
